Beanworks Mobile App - Invoice Module

The Beanworks mobile app is now available for iOS and Android. The mobile app is an extension of Quadient AP, allowing you to access invoice approval and expense creation on the go. Learn more about the Invoice Module here or by contacting your Customer Success Manager. 

Users with the following roles can access the Invoice Module in the Beanworks mobile app. 

• Invoice Creator
• Invoice Approver
• Invoice Administrator
• System Administrator 

How to use the Invoice module in the Quadient AP Mobile App

Invoice images can be uploaded either by clicking on the camera icon on the home page or by going into the invoice section of the mobile app. At this time, only one image can be uploaded per invoice. 

If you have access to both the Expense and Invoice modules, you are asked if the image is an invoice or a receipt. 

You will also be asked whether you want the invoice to go through auto or manual capture. A pop-up message will confirm that the invoice was uploaded successfully.

Invoices uploaded using manual capture will sit in the Create tab in Quadient AP, and invoices uploaded using auto-capture will be in the In Progress tab the following day. 

Approve or Reject an Invoice

Invoice approvers can approve or reject invoices on the go through the mobile app. In the invoice section you will see any invoices pending your approval.

Select the invoice you want to approve or reject. You can view the invoice header details by clicking on the Details section. You can view the line item details by clicking on the Line Items section. Any previous approval information can be found under the Approval History view. 

You can approve or reject an invoice by clicking on the approve or reject button respectively. Comments are optional when approving invoices, and mandatory when rejecting invoices.
