SmartPayables eligibility
SmartPayables is available for Quadient AP customers who meet the following criteria:
- Use a fund source domiciled in the United States or Canada
- Pay vendors in USD or CAD (from matching currency fund source)
- Do not belong to SmartPayables' restricted categories of business. Please reach out to your Customer Success Manager for a complete list of restricted categories of business.
SmartPayables Onboarding Requirements
The following information is required for onboarding with SmartPayables.
Void cheque or Bank Letter for each fund source
Starting cheque number
Completed signature page - This is provided by your Customer Success Manager
E-mail address you would like Smart Payables to use for correspondence
SmartPayables workflow in Quadient AP
Once onboarded, you can select Cheque as a payment method when creating payments in Quadient AP. Please ensure to select the matching Bank Name when coding the payment. Each Bank Name for SmartPayables follows the below naming convention:
- Banking Institute Name (Last 4 digits of account number) Cheques
Vendors with a full address in Quadient AP will be automatically enrolled for SmartPayables. Under the Vendor details in List Manager, System Administrators can disable or re-enable payments for specific vendors as well as enable or disable remittance emails.
Once released, Smart Payables payments will move to Released (RL) status in Quadient AP. The payment moves to Paid (PD) status once SmartPayables confirms that cheque has been mailed out.
When does SmartPayables mail cheques?
SmartPayables mail cheques at 3:00 PM EST Monday - Friday. Payments released from Quadient AP before 10:00 AM EST will be printed and mailed same day. Payments released after this time will be printed and sent out the following business day. SmartPayables mails cheques via USPS First Class.
