NetSuite Custom Segment Sync - Prerequisites

Quadient AP now supports syncing Custom Segments on your vendor bill forms from NetSuite. This allows the Custom Segments to be coded to your invoice in Quadient AP and synced back to NetSuite. The Custom Segment is placed on either the header or line item level in Quadient AP based on the configuration in NetSuite. 


Your Customer Success Manager will assist you with enabling the Custom Segment sync in Quadient AP. To be eligible for Custom Segment sync, you must meet the following requirements in NetSuite. 


NetSuite Custom Segment Sync Prerequisites

Prior to enabling Custom Segment sync, you may need to make some changes to your NetSuite permissions. Please note that changes to NetSuite permissions may take up to 4 hours to update. We recommend making any permissions changes to NetSuite a day prior to enabling the custom segment sync. 


NetSuite version

This feature is currently available for users on versions 2022.1 and 2022.2 of NetSuite. 


Where to find Custom Segments in NetSuite

Custom Segments can be located in two places in NetSuite. Most commonly you can find them under Customization > Lists, Records & Fields > Custom Segments > Search.


Additionally, Custom Segments can also be found under Customization > Lists, Records & Fields > Record Types > New. 


Custom Segment sync for Line Item level

If the Custom Segment is on the Line Item level, open the Sublist Fields tab on the preferred Vendor Bill form. 


Scroll down to the Custom Segment, and verify the label and description mapping. Please note that only the description field will be visible in Quadient AP. 


Custom Segment sync for Header level

For Custom Segments at the Header level, open the Screen Fields tab under the preferred Vendor Bill form, and open the Custom subtab. 

Locate the Custom Segment, and verify the label and description mapping. Please note that as with custom segments on the line item level, only the description field will be visible in Quadient AP.


NetSuite Token Role permissions

The NetSuite token role requires the following permission to sync Custom Segments at both the header and line item levels. Please note that if you need to make updates to your token role permissions, we recommend making the updates a day prior to enabling the Custom Segment sync. 


Additionally, please ensure that the following permissions are granted on the Custom Segment you want to sync with Quadient AP. 

Once all the above prerequisites are confirmed, contact your Customer Success Manager to have the Custom Segment sync enabled.
