The following checklist must be reviewed prior to connecting Sage 100 to Quadient AP. These steps allow Sage 100 & Quadient AP to connect with minimal issues. For the SmartSync pre-integration requirements, please take a look at this article here.
User role and permissions
Quadient AP’s SmartSync application requires a user profile to access Sage 100 and sync data between the two systems. We recommend creating a Sage 100 user specifically for Quadient AP, with a tailored Role to ensure the user has adequate access. Open Sage 100 as Administrator, and from the Administrative Tools menu select Role Maintenance.
Enter a Role Name and Description. We recommend something with ‘Bean’ or ‘SmartSync’ in the name so you can easily tell which user is the SmartSync user. Select the Admin Role Type. The list below shows the specific Tasks that the SmartSync user must be given access to:
Accounts Payable
InquiryMaintenance/DataMiscellaneous TasksReports/FormsUpdate/Period End
Common Information
Maintenance/DataMiscellaneous TasksReports/Forms
Custom Office
Miscellaneous Tasks
General Ledger
InquiryMaintenance/DataMiscellaneous TasksReports/FormsUpdate/Period End
Inventory Management
InquiryMaintenance/DataMiscellaneous TasksReports/FormsUpdate/Period End(for Imported Purchase Orders and Receivings only)
Library Master
Maintenance/DataMiscellaneous TasksReports/Forms
Purchase Order
InquiryMaintenance/DataMiscellaneous TasksReports/FormsUpdate/Period End(for Imported Purchase Orders and Receivings only)
Return Purchase Authorization (for Imported Purchase Orders and Receivings only)
InquiryMaintenance/DataMiscellaneous TasksReports/FormsUpdate/Period End
After saving this Role, return to the Administrative Tools menu and select User Maintenance. Create the User Logon and Password for the SmartSync user. As with the Role, we recommend something with ‘Bean’ or ‘SmartSync’ in the name so you can easily locate the SmartSync user. Under the Company column, select ‘All Companies.’ Under Role, select the SmartSync role previously created.
Company Maintenance
In Sage 100 open Company Maintenance. In the Preferences tab, ensure that ‘Allow External Access’ is active. Without this permission, Quadient AP’s SmartSync will not be able to access Sage 100. This step must be completed for all your Sage 100 companies.
