How to approve or reject a payment

Payment Approvers can see all payments currently waiting on their approval in the Approvals tab. This guide will walk you through all aspects of approving payments. 


View Pending Approval payments.

Each approver will see the payments pending their approval in the  Approval tab. Click on a payment to go into the payment details and review the coding before approving or rejecting it. If you are unable to see specific payments in the Pending Approval tab, ensure that you do not have any custom filters enabled which might be altering your view. 


Approving payments

Click into the payment details view to review the coding. From here you can view the header and line item fields to ensure they are coded correctly. You can also view the invoice and purchase order images to verify this is correct as well.

 


Click Approve once the coding is verified to add your approval to the payment. If you are the only approver, the payment will move to Approved status Releases tab. Your approval will be recorded on the payment and can be viewed in the payment details under Approval History. 

If there are multiple approvers in the workflow, the payment will stay in Pending Approval status with your approval recorded, and show who is remaining to approve it.


Rejecting payments

Click into the payment details view to review the coding. Like with approving a payment, you can view the header and line item fields and images to ensure the coding is correct.  If the payment needs to be rejected, click the red Reject button. When rejecting a payment, you must leave a comment explaining the reason for rejection. Rejected payments return to the In Progress tab in Rejected status
