How do Approval Channels work?

Approval Channels are used in all modules of Quadient AP. They allow you to create flexible approval workflows tailored to your specific needs. If you have any questions about your Approval Channels or want to discuss your approval workflows, please reach out to your Customer Success Manager. 


How do Approval Channels work?

List Criteria

Approval Channels are built using a variety of criteria including dollar amounts, ERP lists, and Org Units. A background process determines which Approval Channels a transaction matches when it gets submitted for approval.

Lists follow an 'AND' rule, while list items follow a 'OR' rule. Using the example below, all invoices under $5,000 for any of the vendors in the list will hit the '01 Vendors - under $5,000' list. 


Approver Order

Multiple approvers can be added to Approval Channels. When an Approval Channel has multiple approvers, the transaction will go one by one to each user for approval. In the example below, the transaction will go to the Invoice Approver, followed by the Invoice Administrator, and the System Administrator. 

Approval Stop Channels

When a transaction hits a Stop Channel, it will not go through any other channels below it in the sequence. In the example below, transactions that hit the 'Invoices for Sage 100 only' will not go through any other Approval Channels below this one. You can learn more about Stop Channels here


Approval Channel Sequences

Approval Channel sequences allow you to determine the order in which the transactions will hit a Stop Channel. This allows a trasnaction to go through whatever channels are needed before it hits a Stop Channel. You can learn more about Approval Channel Sequences here.
