How to upload invoices to Quadient AP - NextGen

This article relates to the Quadient AP NextGen UI, which is being released to our customers on a rolling basis. To learn more about the NextGen UI, please reach out to your Customer Success Manager.

Invoices can be uploaded to Quadient AP through one of the following methods: 

• Directly in the Quadient AP UI, through the Document Inbox
• Using an auto-capture email address
• Using the Quadient AP Mobile App

How to upload invoices directly into Quadient AP

Within the Document Inbox, users with the Invoice Creator, Invoice Administrator, or System Administrator roles can upload invoices to Quadient AP. All uploaded documents are visible in the Documents bar on the left. To upload an invoice, either drag and drop the file into the Documents bar or click the 'click to browse' link to browse your computer for the file.

How to upload an invoice using an Auto-Capture email

Every user in Quadient AP is given a system-generated auto-capture email. Invoices can be sent or forwarded to this email address and will be visible in the Document Inbox shortly after. 

Quadient AP processes each file sent to an auto-capture email as an individual invoice. We recommend sending multiple files per email if you have multiple invoices to upload. Files with multiple invoices can also be split apart in the Document Inbox. Follow our guide here to split apart invoices.

Users can locate their auto-capture email by going to Settings - My Profile. Under the Profile tab, the auto-capture email will be visible. The email address is based on your company email address, and can not be edited.

How to upload an invoice using the Quadient AP Mobile App

The Quadient AP mobile app for Android and iOS allows you to upload and approve invoices. Click here to learn more about uploading invoices via the mobile app.
