How to deactivate or reactive a user

System Administrators can deactivate and reactivate user profiles in Quadient AP.

Deactivate a user

Navigate to Settings - User Management. Find the user in question, and click the pencil icon to edit their profile. Click the checkbox beside Active to remove the check mark, and click Save.


Deactivated users will not be able to log into Beanworks, or be assigned any invoices, POs, or payments. Any invoices assigned to this user in an editable status (New, In Progress, Reset, or Rejected) must be assigned to a new user. 


Error when deactivating a user

The following error pops up when deactivating a user who is included in an Approval Channel. You must replace or remove the user from all Approval Channels across all modules before you can deactivate their profile. The error message includes the names of all Approval Channels the user is in.


Viewing deactivated users

Deactivated users can be viewed in User Management by checking the 'View Deactivated Users' checkbox. Deactivated users are shown in a lighter text colour than active users.


Reactivating users

Navigate to Settings - User Management. Find the user in question, and click the pencil icon to edit their profile. Click the checkbox beside Active to add the check mark, and click Save. When a user is reactivated, they will need to be added to any Approval Channels they were previously in,
