This guide covers all newly-developed functionality for Quadient AP since the previous entry in this series. These features have been implemented according to our planned development and in reaction to feedback from our customers. The following new functionalities are available for customers using the NextGen UI version of Quadient AP.
New Functionality in the Document Inbox
Image Drag and Drop and Split Improvements
Improvements in the Document Inbox allow invoice images to be dragged and dropped smoothly. Additionally, clicking Split without selecting an image now splits all images into individual invoices.
New Functionality in the Invoices Module
Export as Data and PDF with Batch Names and Post Month
The batch name and post month options are now available when exporting invoices as data and PDF. To do this:
- Go to the Ready to Export tab.
- Highlight the invoices to be exported.
- Click icon to open the Export Options menu.
- Select Export as Data and PDF.
In the dialog window you can enter the batch name and post month. Click Export to export the batch.
Force an Export Batch
The Force Export feature lets you regenerate an export file to try to sync it with your ERP again. To do this
- Go to the Ready to Export tab.
- Click View Exports
- Select Force Export
- Confirm the action in the pop-up window.
The export batch will be generated again. You can run another sync once you see the Ready to Sync message in View Export menu. Learn more about this feature here.
Undo an Export Batch
The Undo Export feature allows you to move exported invoices back to Approved status. To do this
- Go to the Ready to Export tab.
- Click View Exports
- Select Undo Export
- Confirm the action in the pop-up window.
The invoices in the batch will return to the Ready to Export tab in Approved status. Learn more about this feature here.
New Functionality in the Invoices and Purchase Orders Module
Error Messages for Batch Actions
There are improved error messages when submitting multiple transactions for approval, making it easier to see why the transactions failed. A new dialog shows each transaction and the related error message. Click Edit Invoice or Edit PO to open the transaction in a new tab for review.
Transaction Header Menu Improvements
In the header coding menu, each coding field is now clearly separated and the selected coding field is highlighted in green. This makes it easier to see which field is selected.
There are also improvements to invoice coding when using keyboard inputs. When coding an invoice:
Press Enter to open the highlighted list.
Press the up or down arrow keys to move through the list until the required value is highlighted in grey.
Press Enter again to select the highlighted value.
'Open link in' option for workflow tabs
You can now open workflow tabs in a new browser tab or window in the NextGen UI. Right-click on the workflow tab and select the option that works best for you.
New Functionality in the Settings Module
Legal Entity Management Visibility
System Administrators with access to one or more Legal Entities can now use the Legal Entities management feature. Previously, this feature was only available to System Administrators with Root Org Unit (i.e. top-level) access. To use this feature:
Go to Settings.
Select Legal Entities from the options in the left bar.
Select the Legal Entity you want to manage.
Here you can manage a Legal Entity's details such as Currency or Operational Language, as well as update addresses and manage Org Units. You can learn more about this feature here.
